It’s no secret that real estate agent onboarding can be tricky. But at MoxiWorks, we try to make it as easy as possible.
Imagine this – you buy a shiny new tool that your friends have been raving about using. It’s finally arrived, with a set of general instructions included to get started, but you set the tool aside and never take a stab at trying it out. A month passes and you haven’t used the tool once because you forgot why you bought it in the first place. Eventually, you end up requesting a refund for the purchase. When your friends ask why you returned it, you tell them that you unfortunately couldn’t find any use in it.
In the realm of SaaS technology, even the most exceptional products will fail if companies don’t provide a positive onboarding experience for their customers. Real estate onboarding is far more than merely providing customers with a login link for the first time and sharing a few instructional videos.
At MoxiWorks, we recognize that starting anything new, especially when it involves technology, can be bewildering for agents. As the Onboarding Project Manager at MoxiWorks, my objective is to make this process as seamless as possible so your agents can hit the ground running with our tools and elevate their business. Here are my personal tips to ensure you have a stellar real estate onboarding experience with us:
1. Familiarize yourself with MoxiWorks
Remember that tool analogy from earlier? Most people do extensive research on any product before committing and real estate technology is no different. Before diving into the real estate agent onboarding process, we encourage you to do your due diligence. What is MoxiWorks? Are we the right fit for your agents? Are the products you’re interested in satisfying a need in your business or do you already have software that does the same thing? How does MoxiWorks compare to your current tool suite?
You can check out our website, YouTube channel, Content Center, or give our sales team a call if you’d like to have a more in-depth conversation. Having a basic understanding of the platform’s features and functionalities will streamline the onboarding process, ensure you know exactly what you’re spending your hard earned money on, and ultimately help you hit the ground running.

2. Help us get to know you better, to serve you better
Brokerages are as diverse as the communities they serve, each with its unique values and personality. While other tech companies may overlook these details, we intentionally take the time to truly understand you on a personal level. Why? Because we’re committed to nurturing a long-term relationship with you and finding your perfect application for our tools.
Our tools are uniquely customizable for a variety of use cases, such as growing your sphere or increasing brand awareness for recruiting to only name a few! Perhaps you don’t know how you plan on using our tools yet? Do you already have an idea of how you intend on using the systems but now you’re wondering what other ways Moxi can level up your brokerage?
To hone in on your WHY, we recommend asking yourself these two questions before our kick off call:
- What challenges are my brokerage and agents currently facing?
- What are my company’s primary goals right now?
Regardless of your situation, your Onboarding team will strategize with you based on your brokerage’s needs.

3. Check in with your contact at your MLS board before signing with us
As we like to say here at MoxiWorks, data is KING. All MoxiWorks tools’ basic functionality is powered by your MLS’ data. Luckily, we already have agreements with thousands of MLS boards and most likely yours as well. We highly recommend inquiring about the following details with your point of contact at your MLS prior to purchase:
- Does the MLS already have a relationship and agreement with MoxiWorks?
- Are there any concerns or limitations with using the MLS data in MoxiWork’s product?
- Will there be an additional fee charged by the MLS for enabling data access for MoxiWorks?
- Will there be any issues with your broker of record signing the MLS agreement to allow data access for agents?
If the answers to any of these questions are no, you are still welcome to chat with our sales team before signing on with us. Our team is committed to exploring alternative solutions to ensure our tools will meet your needs.

4. Dedicate time and resources early
We understand better than anyone that real estate agents lead incredibly busy lives. After all, our products are designed to streamline tasks and save agents as much time as possible. Onboarding real estate agents is a collaborative project with a clearly defined schedule, scope of work, and deliverables expected from both parties. While our team will spare no effort to ensure we’re doing our part to complete your onboarding successfully, it’s essential for your team to allocate time and resources to the onboarding process as well.
We’ve noticed the highest levels of success and adoption among customers who fully commit their time and energy to onboarding from beginning to end. If you’re considering starting the onboarding process with us, we recommend avoiding busy periods in your schedule, such as during significant company events or vacation times. By investing time and resources upfront, you can accelerate the learning curve, optimize workflows, and ultimately unlock the full potential of our product.

5. Assign real estate agent onboarding roles within your team
Teamwork makes the dream work. In addition to emphasizing the importance of dedicating time, allocating resources is equally vital to ensuring a successful onboarding experience. Do you have key individuals within your brokerage who currently support your agents with onboarding, education, marketing, or technological endeavors? It’s possible that your brokerage relies on just one or two staff members who juggle multiple roles.
Regardless of your brokerage’s size, if resources permit, consider assembling an internal project team before commencing your MoxiWorks real estate agent onboarding journey. However, if your brokerage is on the smaller side with only one staff member handling everything, rest assured that our onboarding team will be available to provide as much assistance as possible.
Why do we recommend involving multiple people in the onboarding process? There will be instances where decisions need to be made regarding the entire company’s product setup, requiring additional insights or expertise beyond your own. Your Onboarding Project Manager will outline all necessary deliverables for the onboarding process, while the designated leader—typically the broker or owner—will oversee the process of assembling the best individuals for the tasks, assigning roles and responsibilities, and ensuring accountability within the team.

6. Treat this like a partnership
Real estate onboarding best practices are so much more than a contractual vendor agreement to us here at MoxiWorks – it’s the beginning of a beautiful partnership. At the end of the day, we’re both embarking on this journey with the same goal – your success is our success! We’re here to ensure your new MoxiWorks tools not only function to your expectations, but deliver a return on your investment with us by elevating your brokerage where it matters.
When you begin working with your Onboarding Project Manager, they will be guiding you through the entire product setup. As the customer, you are the most important stakeholder with the strongest influence. Openly and transparently communicate any questions, preferences, concerns, issues, or feedback as soon as possible. Some of these questions/feedback might include:
- How do you prefer to be communicated with during onboarding?
- Do you have any reservations about the work required?
- Do you feel uncertain about how to support your agents after launch?
- Is there anything about your product setup that doesn’t satisfy your expectations?
All of these types of questions can and should be relayed with your Onboarding Project Manager, ensuring your onboarding experience, product configuration and workflows meet your specific needs.
Like any partnership, it takes two to tango! There will be shared responsibility and expectations of the project leader or project team to complete tasks. Customer responsiveness and active contribution is essential to having a killer real estate agent onboarding and a thriving long-term partnership.
